Preparing Mailboxes for the Import

You can prepare your mailboxes for the import before sending them to us in order to add them to the archive. The format, folder structure and naming of mailboxes must meet requirements.

You have made the following preparations:

  • You have added to the Control Panel all alias domains of the domain whose mailboxes are to be archived.
  • You have added all mailboxes that you would like to archive to the Control Panel.
  • You have activated Archiving for all mailboxes that are to be archived (see the chapter Activating Archiving).

  1. To keep the mailbox file size as small as possible, empty the folders Trash and Drafts of the mailboxes.
  2. Important:

    The maximum size allowed for a mailbox file or an archive is 20 GB.

    Export the data to the .eml format or the .pst format.
    1. Create one mailbox file or archive per email address.
      Note:

      If you export emails to the .eml format, add the single files to a .zip archive. Do not put any other folders, subfolders or data types into the .zip folder.

    2. Name the mailbox file or archive after the email address of the primary mailbox.
    • .eml format:

      If you export the emails to the .eml format, name the archive according to the following pattern:
      doe@domain.tld.zip

      If a mailbox has to be divided into several archives, extend the name of the archives with a serial number:

      • doe@domain.tld.1.zip
      • doe@domain.tld.12.zip
      • doe@domain.tld.109.zip
    • .pst format:

      If you export the mailbox to the .pst format, name the mailbox according to the following pattern:
      doe@domain.tld.pst

      If a mailbox has to be divided into several files, extend the file names with a serial number:

      • doe@domain.tld.1.pst
      • doe@domain.tld.12.pst
      • doe@domain.tld.109.pst

Mailboxes have been prepared for the import.
